An organizer of several markets used an external email tool for four separate lists, each with its own signup form and its own confirmation email. Billing was based on the number of all stored profiles, including those that weren't supposed to receive any marketing at all. Costs kept rising, even though the requirements stayed simple. Our suggestion: rebuild the lists with Shopify's own tools for forms, automations and emails. Four forms, four segments, four simple confirmation flows. After that, the external tool would no longer be needed.
The case
External email tools shine when it comes to complex flows, lots of conditions and deep reporting. But if you only collect signups, send a confirmation and occasionally send a newsletter to a specific list, you often pay for features you don't use. Then there's profile-based billing: every contact costs money, even if they never receive a marketing email.
Segmentation starts with the form
The key idea: lists aren't separated at send time, but at signup.
- One form per market. Each form says clearly what you're signing up for.
- The form source as an attribute. Anyone who signs up via a market's form automatically lands in the right segment.
- One confirmation per segment. Every signup gets the matching welcome email.
- Targeted campaigns per segment. People interested in one market only get that market's news.
That way you don't need four stores or manually maintained lists.
When the external tool is still the better choice
- With lots of branching automations with conditions and wait times.
- With detailed reporting and testing of subject lines and content.
- When email is a main revenue channel and every optimization counts.
In those cases, a specialized tool pays off. For simple signups and confirmations, often not.
What to take away
- Check what you're paying for. Profile-based billing can get expensive when many of those profiles aren't marketed to at all.
- Separate lists at signup, not at send time. That saves maintenance and wrong emails later.
- Less tool can be more. For simple flows, Shopify's built-in tools are often enough.
- Bring consent status along when you switch. Who agreed to what has to be preserved in the new system.
